Client confidentiality
The Advocates Law (UU 18/2003), Article 19(1): an advocate must keep confidential everything learned or obtained from a client through the professional relationship, unless a law provides otherwise.
After the matter closes
The Indonesian Advocates’ Code of Ethics, Article 4(h), requires what a client confided to stay confidential after the relationship ends. Old archives need limited access too.
Personal data in the files
As a data controller, your firm must protect the personal data it processes and prevent unauthorised access (UU 27/2022 on Personal Data Protection, Articles 35 and 39), and record its processing activities (Article 31).

It does not make you compliant on its own. What it gives you is control over who and what opens a document, and a record you can show.
A folder per matter, access per person
The matter template sets up folders for advice, correspondence, evidence, court documents and billing. Share each only with the people on it, and use periodic access reviews to catch access nobody needs any more.
Ask forty contracts at once
The built-in AI answers only from documents you can already open, and every claim links to the passage it quotes. Or connect Claude and ChatGPT over MCP, limited to the folders you pick.
A table for due diligence
Define columns such as parties, value and expiry date. The AI fills them with a quote from the document, and a value it cannot quote is never written. Set reminders on any date column.
A portal for clients
Send drafts and collect documents through a link with a password, an expiry and a download limit. The client approves a specific version, and you can compare any two.
A record, and legal holds
Every AI search and read is recorded, refusals included. A matter in dispute can be frozen with a legal hold so that nobody can delete it.

Questions law firms ask
May advocates use AI on client documents?
That is your firm’s decision, weighed against the duty of confidentiality in Article 19 of the Advocates Law. What folders.id does is limit the AI to the folders you pick — never beyond the access of the person who connected it — mask NIK and NPWP, and record every request, refusals included.
Where are our files stored?
Uploaded files are stored with an Indonesian object-storage provider; the application and its database, including the text read out of documents for search, currently run in Singapore. When an AI reads a document, the content goes to the AI provider you connected and that provider’s policies apply — so you choose the folders, and identity numbers are masked first.
Does search cope with documents in Indonesian and English?
Yes, including both in the same sentence, which is how most contracts here are written. Search by meaning is there too, for a document you can only describe.
Can documents be signed here?
Yes, for documents where an ordinary electronic signature is enough: every step goes into a certificate in which any tampering can be detected. It is not a certified electronic signature under UU ITE; use a certified provider (PSrE) where one is required.
Does using folders.id make us compliant with UU PDP?
No software can promise that. folders.id helps you limit access, mask NIK and NPWP for AI, and keep a record you can show. Your policies, lawful bases and procedures remain yours.
